Minutes of the Board of Trustees

The regular meeting of the Board of Trustees was held on Wednesday, October 11, 2017, in the Library’s Board Room.  Attending the meeting were Trustees Chris Vaage, Tona Casella, Kyle Tarbett, Monica D’Angelo and John Van Engelen; Library Director Tara Bartley; Staff Member Kathleen Lambert and Karolee Sorenson.  Absent Suzanne Hawkins.

Chairman Chris Vaage called the meeting to order at 4:33 p.m. with brief introductions.

The Trustees MSC approval of the October 11, 2017 agenda.  Monica D’Angelo made the motion to approve.  Tona Casella 2nd the motion.

The Trustees MSC the approval of the September 13, 2017 minutes.   Tona Casella made the motion to approve.  Kyle Tarbett 2nd the motion.

 

Communications & Correspondence

Approval of Financial Statements

John looked over the bills and recommended approval.  The Trustees MSC the approval of the September 2017 bills. Tona Casella made the motion to approve last month’s bills, Kyle 2nd the motion. Roll call vote taken.  Approved 5-0. 

Financial/Statistical report:  The Trustees MSC the approval of the September 2017 Financial Statements.  John VanEngelen made the motion to approve the September 2017 Financial Statements.  Monica Casello 2nd the motion.   Roll call vote taken.  Approved 5-0.

 

Communications/Correspondence (Tara)

During November the Hero’s tree will be on display to honor Veterans.  A display case will be available for memorabilia to be displayed.  Ornaments will be displayed on the tree to remember and honor veterans.  Programs for November to honor the Veterans will include guest speakers, Reference is doing a genealogy program and children’s hero’s story time.

The library will be closed Friday November 10 the observed Veteran’s Day and opened on Saturday the 11th of November.

Library events – Let’s Talk About It was October 4th discussing the book “Refuge an Unnatural History of Family and Palce with guest Scholar Shelley McEuen of College of Southern Idaho.  There were about 20 attendees. 

October 13: An Evening with Poe.  The event will be held at Twin Beans to discuss the life of Edgar Allan Poe.

October 28th Hocus Pocus interactive will be showing at 3:00 pm.

 Brandon Tesch as Ursula will be joining us for Halloween Story Time on the 31st and then it’s downtown to trick or treat. 

The library has a new bookshelf with kits for check out.  Kits include baking pans, cookie cutters, board games and outdoor games.

Foundation Report (Kyle)

Scramble Forer Books raised approximately $28,000.00.  The 19th of October will be Donor’s appreciation day.  Foundation will be recognizing the donors who donated this past year.  Self-Checkout machine for youth services has been pushed back to November.

Finance & Budgeting

Committee Reports: A.) Finance/Budgeting (John and Tona) John submitted report summarizing 2016/2017 end of budget review. B.) Building/Grounds (Monica and John) Cancelled. C.) Planning/Public Relations (Tona/Kyle) Strategic Planning Survey has been completed. Moving forward to public forum. Topics to focus on Book Mobile Utilization. Community would like to see more programing and more traditional materials and more technology. There were 355 responses to the survey and for the most part was positive feedback. Discussion on how to do the forums, changing the venue and approach and pair with programming. Follow up in November. D.) Operations/Personnel: (Kyle/Monica) Cancelled.

Library Staff

Library Staff report :( Kathleen) Report on the ILA Conference October 4th and 5th. October 4th attended the Session Preservation Before Access (Idaho State Archives). Key notes: We currently have a casual transfer of custody; for larger donations, we should revisit the idea of deed of gift and/or a bill of sale to establish provenance and potential copy right issues. Create a few aids for larger collections so patrons will be better informed. Clear our backlog by grouping together smaller collections. Preservation Digitizing isn’t always preservation. Backup digital historical information and store offsite. Rethink the names on photo files so it is easier for patrons to find and browse through. October 5th - 50 books in 50 weeks. Look at expanding our Readers Dozen adding another challenge and asking participants for input. Idaho Rangeland Atlas. New GIS mapping for U of I with layers for identifying rangeland use. Useful as a reference tool. Information Skeptics. Mainly for educators – getting students to think critically about sources. Programing for adults. Ideas for seed libraries, Talking Book Service and Summer Reading. Virtual Reference via Social Media. Basically a case study in how the Meridian Library did a video blog and the mistakes and successes. Something maybe to look at in the future. Conclusion was a good conference with useful information and ideas.

Library Director report :(Tara)

October 20 is the Lynx Director meeting in Nampa.  We are looking at purchasing a new micro film scanner.  Our last scanner was purchased by the Foundation in 2005.  The old scanner will be moved to the Idaho Room for backup.  Staff changes.  The library has lost an employee in serials, one in outreach and four pages.  We have offered the serials position to in- house employee, and have replaced the 4 pages still looking for a replacement in outreach.  We will be hiring a new full time employee in Automation Technology Services.  Main responsibilities will be to answer patron’s computer questions and website.  Hiring the full time employee eliminates a part time position in circulation.  Capital improvement projects for the library are lighting and the air conditioning in reference office and foundation office.

Library Incidents:(Tara) Petition on fees and access to the library for nonresidents. We will educate how the fees are established, letting the community know that our Library is open to everyone but is ran on city tax payer monies. Everyone is welcome to use the resources the library has to offer at no charge but if a nonresident (outside city limits) wants to borrow materials, they are required to pay non-resident fees
